The diary duplication section has been designed to save you a lot of time if you create daily diaries for the children in your care, instead of having to create an individual diary for each child in your setting, the diary duplication section allows you to create one diary and assign individual sections of the diary to one or more children, this also includes photographs and videos.
Create one daily diary and assign it to multiple children.
Each section of the diary can be assigned to individual children.
Each section of the diary can have multiple options, you then decide which option of that section gets assigned to which children.
Each photograph you upload can be assigned to multiple children.
Each video you upload can be assigned to multiple children
Each photograph and video you upload can be linked to the Early Years Outcomes they will then appear in each child's progress section.
The duplication template you create can be worked on throughout the day, saved, closed, worked on again and then finalloy assigned to each individual child.
As soon as you decide to create the children's diaries they are instantly created and parents are all emailed to advise them that their child's diary has been created.
Shown below are a selection of screenshots and additional information relating to the Diary Duplication section on the system.
Diary Duplication Overview
The diary duplication section allows you to create unlimited diary templates that can be used once or multiple times to create a day's diary for multiple children on the system at once, thus saving the time in having to create diaries for multiple children individually.
When creating a diary duplication template you first decide who you are creating the diary for, in this example we selected four children by selecting all children or individually selecting the children using the tick select box.
Select which children have which section within their diary
For each section of the diary you can decide which children will have that information in their diary, for example you can create one diary notes section for two children and then create a different diary notes section and assign this to two different children. This is the same for observations, you can create one observation and assign this to 1, 2, 3 or 4 children then create more observations and repeat the process assigning it to 1 or all of the children you are creating this dairy for.
This process is then repeated for all the meals and sleep times etc for the diary, so for example if 3 children slept from 1pm to 2pm you would assign that sleep time to those children and if another child did not sleep you simply do not assign that sleep section to their diary.
Likewise for meals, the children may have eaten different meals, so you can create multiple meals and assign the relevant meals to the relevant children.
Upload photos and videos and assign to children
Now we can upload multiple photos and videos to the diary duplication template and assign the correct children to the photos and videos, the beauty of the duplication section is that you only need to upload the photo and video once to assign it to multiple children.
In addition when assigning photos and videos to the children you can also link these to the Early Years Outcomes within the EYFS, these photos and videos will, as well as appearing in the child's diaries, also appear in their progress section beneath the relevant Early Years Outcomes.
Set a pending status, create duplicate diary and assign to children
Once you have finished creating your diary duplication page you can save the template and create all the children's diaries with one click of the mouse, the system will automatically create the children's diaries only displaying the areas you selected for each individual child including the photographs and videos.
