Shown below is a detailed list of the features and areas included with every Baby's Days system.
Each area listed includes a breakdown of features for that area along with links to screenshots with even more detailed information.
Baby's Days is currently on release version 3.0 with the next version 4.0 available (free to all current subscribers) by January 2012 which includes a Holiday/Event Calendar and End of year tax calculations.
We never stop updating and enhancing Baby's Days and once you have subscribed you never have to worry about updates, as these are automatically added to your system as and when the latest version is released at no extra charge.
Create Unlimited Rooms - 
Rooms are added to the system so that you can assign children and administrators to them for easy control and administration.
- Create as many rooms on the system as you require.
- Set minimum and maximum age range for the children allocated to each room.
- Set maximum child capacity for each room.
- Set carer to child ratio for each room.
- Alerts appear if room capacities are exceeded.
- The number of children assigned to each room with SEN is displayed.
- Quickly see the number of children and number of administrators assigned to each room.
- Quickly view and manage all the rooms on the system.
- Sort rooms alphabetically by room name or numerically by age range, number of administrators, carer to child ratio, room capacity, assigned children or by number of children in the room with SEN.
- Settings for all rooms can be quickly and easily managed.
- Group move all the children assigned to one room to a new room.
- Upload a photograph or image of the room and this will be displayed at key points on the system.
- Each child on the system is assigned to a room for easy administration.
- There are no limits on the number of Children that can be assigned to a single room.
- Administrators are assigned to specific rooms to manage the children within that room.
- Room level administrators can only manage children within the room they are assigned to.
Tip: Childminders only need to create 1 room on the system and assign all the children in their care to this room, however, we recommend creating 2 rooms, this way when children leave their setting they can move the children to the second room and save the children’s EYFS data on the system until it is no longer required.
Each Child has 3 Photo Galleries - 
Every child on the system has 3 photo galleries, Diary Gallery, Progress Gallery and General Gallery.
- All photographs uploaded to the child's Diaries appear within their Diary Photo Gallery, photographs in this gallery are viewed quickly and easily by Year and then Date.
- All photographs uploaded to the child's Progress appear within their Progress Photo Gallery, photographs in this gallery are viewed quickly and easily by Development Area ie: CD, CLL, PSED etc.
- A third gallery named General Gallery is available to upload photographs to, this is used to upload photographs to that you did not upload to the child's diary or you do not want to upload to their Progress.
- There are no limits on the number of photographs that can be uploaded to any Gallery.
- Photographs are automatically resized when uploaded to the child's gallery.
- You can bulk upload photographs to the system.
- Every photograph can be removed or edited.
- A title and description can be added to every photograph uploaded to any Gallery.
- Comments can be left by both Administrator or parents of the child.
- The age that the child was on the day the photograph was uploaded is displayed.
Add Unlimited Administrators - 
Administrators are added to the system and assigned to different rooms so they can administrate the children within these rooms.
- Create as many administrators on the system as you require.
- Each administrator is assigned a username and password which they use to login to the system with.
- The administrators first and last name is displayed at key positions on the system, ie: Appearing alongside a created diary for a child etc.
- Upload a photograph of each administrator and this will be displayed at key positions on the system, ie Appearing alongside a created diary for a child etc.
- Any data update carried out by an administrator is logged with their system username: ie: adding an achieved date in a child’s progress will display the username of the administrator that added the date to the system.
- Administrators are assigned with one of three different administrator levels.
- Administrators can login to the system to manage the system and children within the room or rooms they are assigned to.
- Administrators can be quickly and easily assigned with new administrator levels or assigned to a different room.
- Quickly view and manage all the administrators on the system.
- Sort administrators alphabetically by username, first name, last name, administrator level or by room name.
Choose From Three Administrator Levels
Three different Administrator levels are available on the system, each level has different access on the system allowing the administrators to carry out different tasks.
- A Master Administrator has full control of the overall system, they can add and delete from any area of the system including the adding and removing of children and other Administrators. There should be a limited number of Master Administrators on the system and these are usually assigned only to Senior Management or Directors/Owners.
- A Super Administrator has access to all the children in the system assigned to any room, they can add, remove and edit the data of any child in any room within the system. A Super Administrator cannot edit site functions, i.e.: make changes to other Administrators or change system settings etc.
- A Room Administrator only has access to the children within the room they are assigned to, they do not have the ability to make changes to any other child within the system. A Room Administrator level should be used for the majority of Administrators on the system and is ideal for Room Managers or Nursery Nurses etc who only need to gain access to the children within the room they are assigned to.
Create Unlimited Staff Positions - 
Staff positions are allocated to the system and each administrator is assigned with a position.
- Create as many staff positions on the system as you require.
- Each administrator on the system is assigned with a staff position.
- Example staff positions may be: Childminder, Nursery Nurse, Manager, Trainee etc
- Quickly view and manage all the positions on the system and sort by alphabetical order.
- Quickly see the number of administrators assigned with each position and sort by numerical order.
- Group move all the administrators assigned with one position to another.
Add Unlimited Children to the System - 
Children are added to the system so that you can track their Early Years Development within your childcare setting.
- Add an unlimited number of children to the system.
- Add each child’s personal data, dietary requirements, medical notes and special needs etc.
- Indicate if the child has SEN and this will be displayed within the room they are assigned to.
- Upload photographs of the children and these are displayed on all their personal data pages.
- Each child’s age in months or date of birth is displayed on all their personal data pages.
- Each child’s name is displayed on all their personal data pages
- Quickly view and manage all the children on the system, sort alphabetically by first name, last name or room name. or numerically by date of birth or age in months.
- Each child is assigned to a room, if the child moves rooms within your setting, you can quickly change the room the child is assigned to on the system with no loss of data.
- Each child on the system has 2 parental access usernames and passwords allowing their parents to login and view their personal data pages including Diaries, Progress, Planning and Individual Learning Plans and Photo Gallery etc.
- Each child on the system is assigned to a room for easy administration.
- Children with SEN – Special Educational Needs are clearly indicated on the system.
Create a Daily Diary for every child on the System - 
Record daily routines, activities and observations in a daily diary for every child on the system, mention milestones they have reached and upload photographs for parents to see, an ideal way to keep parents informed on a daily basis of their child’s Development within your setting.
- Create a diary every day for each child on the system, detail what activities they carried out, list what they ate for breakfast, lunch and dinner, add your observations for the child and upload photographs for the day.
- Add a title and description for each photograph that is uploaded.
- Uploaded photographs for the day’s diary automatically appear in the child’s diary for the day and within their main photo gallery in the Year/Month category they were uploaded.
- Use diary helpers to speed up diary creation.
- Speed up diary creation by using the diary import feature, import another child’s previously created diary, change key areas and save the diary for the new child.
- Quickly view all the children on the system with the date and time their diary was last created.
- A created today icon shows you instantly if a child’s diary has been created today,
- Simple 1 click action takes you to the create today’s diary page for any child.
- Create any child’s diary for any day of any month of any year.
- Use the calendar view to quickly view any child’s previously created diary.
- Overwrite, edit or delete a previously created diary.
- Parents can login to the system, read their child’s diary and leave notes for you to read, you can reply to notes received and emails are sent to both parties.
Create Unlimited Diary Helpers to speed up Diary creation - 
Diary Helpers are drop down lists of items that appear above the Diary Sections within the Create Diary page for any Child, Diary Helpers speed up the Diary creation process for every child on the system, when clicking on any item in these drop down lists, the item selected will appear in the Diary entry box automatically.
- Create as many diary helpers as you like and assign them to specific diary sections including: Breakfast, Lunch, Dinner, Bottles, Nappies, and Sleep.
- Add up to 50 items to each Diary Helper.
- Diary Helpers can also be used during weekly food menu creation.
- There are no limits on the number of Diary Helpers that can be added to a Diary Section.
- Assign multiple items from each Diary Helper to any section.
- Quickly view and manage all the Diary Helpers on the system. Sort alphabetically by title, diary section or by item list.
Track every child's Progress through the EYFS - 
Easily track a child’s progress through the EYFS, record the achievements and development of children from birth to the age of five. The child's development is broken down into each Development Area then Focus Area then Development Matter.
- Every Development Area: CD, CLL, KUW, PD, PSED and PSRN is colour coded.
- Super fast navigation between each Development Area and Focus Area.
- View overall % percentages complete for each Development Area for each child on the system.
- See instant alerts should a child not be achieving their goals by the recommended Development age.
- Add achievement date of any development matter with a click of the mouse.
- Quickly add working towards notes and observations below any Development Matter within their Progress.
- Add supporting photographs along with a title and description quickly and easily to any Development Matter within their Progress.
- All uploaded photographs to the child’s Progress appear within their photo gallery within the relevant Development Area
- ILP notes and Progress are linked, add a completed date to an ILP note in an ILP Plan and the date is automatically added to the Development Matter within the child’s Progress.
- Every note added to a child’s ILP notes is automatically added below the Development Matter within their Progress.
- Development Matters in Progress are linked with the Development Matters in their Assessment Scales, dates added to their Progress get automatically added to the linked Development Matter in their Assessment Scales.
Track every child's Assessment Scales through the EYFS - 
Easily record a child's development against the 13 Assessment Scales across the six Development Areas, Judgements against these scales should be made from observation of consistent and independent behaviour, predominantly from children's self-initiated activities.
- Every Development Area: CD, CLL, KUW, PD, PSED and PSRN is colour coded.

Create Individual Learning Plans for every Child - 
An Individual Learning Plan is a way of tailoring the curriculum to meet a child's specific needs. This is important because within any group of children there will be a range of needs, strengths and interests. ILP's are therefore, useful to ensure that each child's learning is catered for on an individual basis.
- Each child on the system has their own Individual Learning Plans.
- Create unlimited notes for each child that can be used within their Individual Learning Plans.
- Notes for children’s plans are also automatically added from their Progress and Focused Plans sections on the system.
- Edit or delete notes individually for each child.
- Create unlimited Individual Learning Plans for every child on the system.
- Each child’s ILP notes are linked with a Development Area in their progress as soon as you add a new ILP note is is displayed beneath the relevant development matter within their progress.
- Mark a note complete in a child’s Learning Plan and the date the note was completed also gets added to the relevant area within their progress.
- Quickly view active and completed plans by month or year for each child.
- Plans remain active until every note within a Plan is marked as competed and a date when the note was achieved is added.
- Add and remove notes from active plans.
- Re-assign notes from one plan to another.
- Remove notes from a plan so they can be assigned to a new plan.
Create Unlimited Medium Term Plans - 
Medium Term Planning is developed on a main focus or theme which shows the objectives in all six development areas. This main theme will usually last between 4 and 6 weeks but depends on the children's interest. There may also be more emphasis on a particular Development Area, so it is important to observe the children and pick up their interests.
- Medium Term Plans are created for each room on the system, these plans can then be used to quickly create your Short Term Plans.
- Medium Term Plans are assigned with a start date and end date.
- The current % percentage complete of each Long Term Plan is displayed in the active plans view.
- There are no limits on the number of plans that can be created.
- Completed plans can be reused and reassigned with new dates.
- Each note in the plan is linked with a Development Area, Focus Area and then Development Matter, this information is automatically used when creating a Short Term plan so you do not have to re-enter the information.
- Quickly view, edit, copy and delete all the Medium Term Plans on the system including completed plans.
Create Unlimited Short Term Plans - 
Short Term Plans are created by pulling activities directly from your Medium Term Plan and involve setting out what is to be included on a day to day basis, one week at a time within the broad framework outlined in the Medium Term Planning, this enables much more focus on what specific needs the children have and how these will be met.
- Short Term Plans are created by pulling activities directly from your Medium Term Plan.
- The Development Area, Focus Area and the Development Matter are automatically added to your Short Term Plan from the Medium Term Plan.
- Short Term Plans are created for each room on the system, one week at a time.
- Completed plans can be reused and reassigned with new dates.
- Quickly view, edit, copy and delete all the Short Term Plans on the system including completed plans.
Create Focused Plans for every Child - 
Focused plans are an evaluation of a specific activity taken from your Short Term Planning, Focused Plans are used to monitor and observe a child’s interactions during this specific activity and from these observations, their future needs and next steps can be planned. Focused plans are also used to evaluate if your activities are stimulating enough for the children or if adjustments should be made to them.
- Focused Plans are created per room and group assigned to children within the room.
- Focused Plans automatically pull in data from the activity of the Short Plan of the same day, this includes: Focus title,
- Development Area, Development Area Details and the Resources.
- Future needs / next steps added to the Focused Plan for each child are automatically added to the Child’s ILP notes so that they can be assigned to an individual learning plan for the child.
- Focused plans are displayed as incomplete until the focused activity has taken place and notes and observations are added to the plan and it is marked as complete.
- Quickly view and manage Focused Plans for each child on the system.
- Quickly see the number of incomplete plans for each child on the system.
Assign your Policies to the Children - 
Every Childcare setting including childminders has a range of Policies which the parents of the children they care for must read, agree to and sign their acceptance of. The system allows you to use the pre-installed 60+ Policies on the system or you can add your own Policies to the system to assign to the children in your care. Every Policy can be assigned with a review date and the system will warn you of the Policy is due for renewal. Once Policies have been assigned to the children the parents can connect to your system and read, agree to and digitally sign their acceptance of your Policies.
- Over 60 Policies are already setup on the system allowing you to use them as they are or they can be edited to suit your setting.
- Each Policy on the system can be assigned with a review date, the system will then advise you if the Policy is due for review.
- Policies can be assigned to Categories for ease of organisation, these can then be assigned to groups of Policies that can be assigned to the children in your care.
- Once Policies, categories or groups of Policies have been individually assigned to the children in your care the parents can connect to your system and read, agree to and sign their acceptance of your Policies, the date and name they used to sign their acceptance of your Policies is clearly displayed for each child on the system.
Assign your Permissions to the Children - 
Every Childcare setting including childminders has a range of Permissions which the parents of the children they care for must read, agree to and sign their acceptance of. The system allows you to use the pre-installed 22 Permissions on the system or you can add your own Permissions to the system to assign to the children in your care. Every Permission can be assigned with a review date and the system will warn you when the Permission is due for renewal. Once Permissions have been assigned to the children the parents can connect to your system and read, agree to and digitally sign their acceptance of your Permissions.

Create Food Menus for every week of the Year - 
Create food menus for every week of the year, detail what the children within your setting will be eating for breakfast, lunch and dinner for every day of the week, parents can login to the system and view the menus. Past menus are saved on the system so can be used as a search tool to track possible allergies etc.
- Food Menus are created on a weekly basis for any week of the year.
- Assign a menu title for each weekly menu.
- Copy complete menus and assign them to a new week.
- Quickly view and manage all the menus created on the system.
- Use diary helpers to automatically add meals to each days menu.
- Meals for each day are automatically added to every child’s daily diary.
Print or create a .PDF for every area of the system
Every area of the system can be printed or the document saved as a .pdf file and emailed. Clicking the print icon at the top of any page within a child’s information will open the page to be printed or saved in a new window.
The following areas of each child’s data can be printed:
- Daily Diaries – Any diary created for a child can be printed.
- Progress – Print the child’s progress by development Area displaying achievement dates and any notes that have been added to development matters
- Assessment Scales - Print any child’s Assessment Scales by Development Area displaying achievement dates.
- Individual Learning Plans – Print any child’s Individual Learning Plans both completed and incomplete.
- Focused Plans – Print any child’s focused plans so you can carry out the activity, make notes, upload them back to the system then print out a completed Focused Plan.
The following areas for each room can be printed:
- Medium Term Plans – Print active and completed Medium Term Plans to display for all to see.
- Short Term Plans - Print past, present and future Short Term Plans to display for all to see.
- Food Menus – Print any menu from any week and display for all to see.
Parents can access their children's data - 
Parents can login to the system and view their child’s diaries and Progress & Assessment Scales and they can leave notes for administrators to read and reply to within their child's diaries. Parents have a read only view of the system and cannot make changes to any areas or their child’s data on the system.
The following areas of the system can be viewed by each child’s parents:
- All of their child’s created diaries including photographs uploaded, parents can leave comments on the diary for administrators to read and reply to, you will be sent an email by the system telling you that the parent has left an email with a copy of the comment left and a link to the diary so you can reply.
- Their child’s current Progress and Assessment Scales including achievement dates and observational notes and photographs upload by administrators.
- Their child's photo galleries including Diary Gallery, Progress Gallery and General Gallery, comments can be left by parents on any photograph.
- The Policies assigned to their Child, the parent must read, agree to and sign their acceptance of your Policies before they can use any other area of the system.
